Community Center Use and Rental Policy
Community Center Use & Rental Policy and Procedures
1. General
The Miccosukee Land Co-op (MLC) Community Center is a facility dedicated to the benefit of the MLC membership.
- Types of Events: Community Events: Established traditions such as Springfest, July 4th Interdependence Day, and New Year’s Eve. Member-Focused Events: Potlucks, Game Nights, and Governance workshops. Regular Classes: Yoga, Pilates, Qi Gong, Community Sing and Uke Jammers. Affiliated Organizations: Non-profit groups with missions in alliance with MLC (e.g., Audubon, Hickory Preserve) that include MLC members. Public & Private Events: Weddings, memorials, and public concerts, etc.
- Requirements for All Events: Any event with over 50 attendees requires parking attendants. Events over 100 people require Town Council notification.
- Insurance: Event insurance is mandatory for any event advertised publicly on digital or social media.
2. Scheduling and Booking
The Community Center utilizes the Communal online platform for all bookings.
- Reservations: There is no longer a designated Scheduler. Renters must check the digital calendar and book directly via Communal: https://miccosukee-land-co-op.getcommunal.com/login.
- Link to instructional video click here.
- Double-Booking: In the event of a scheduling conflict, the parties involved are responsible for communicating with one another to determine if the events can be held simultaneously or if one must be moved.
- Orientation: A pre-event orientation is required for those unfamiliar with the facility.
3. Fees and Payments
- Electronic Payment: All rental fees must be paid electronically through Communal.
- Deadlines: Fees must be paid by the specified invoice due date. Failure to pay by the deadline will result in the automatic cancellation of the reservation.
- Administrative Fee: A 10% fee is applied to all rates to help cover transaction costs and the booking platform subscription.
- Loss and Damage: No security deposit is required upfront. However, the renter and their MLC sponsor are strictly liable for the facility. Any loss of equipment (such as kitchenware) or damage to the building or grounds will result in a fee billed to the renter for the full cost of replacement or repair.
4. Membership and Neighbor Rates
- MLC Members: Property owners in good standing qualify for the “Member Rate.”
- Neighbor Rates: Residents of Sunrise, as well as long-term MLC renters and immediate family members of MLC members, are eligible for the “Sunrise Member Rate.”
- Sponsorship: All non-member rentals (includes friends, neighbors & non-profit events) must be sponsored by an MLC member who is responsible for ensuring clean-up and guideline compliance.
5. Responsibilities of Town Council (TC)
- Approvals: The TC must review and approve all policy changes.
- Notifications: All rentals of more than 100 attendees require notification to the TC, provided they meet standard safety, insurance and parking requirements.
- Arrears & Eligibility: Per the Arrears Assessment Collection Policy, members are not considered “in good standing”—and therefore cannot rent or sponsor the center—if they are in noncompliance with previous rental guidelines or are in arrears with assessments (unless participating in an active repayment agreement).
- Loss of Use: TC determines if an abuse of the rental agreement results in the loss of future use for a sponsor or organizer.
